Terms of booking and cancellation for facilities and events

Exception to the conditions below due to the Covid-19

The normal cancellation policy applies if the cancellation comes from the customer’s / booker’s own reasons. If there are restrictions on the part of the state or health authorities, the conditions for cancellation will be applied on a case-by-case basis. The starting point is that if no costs have yet been incurred for Finlandia Hotel Airport Oulu, no cancellation costs will be charged. The working hours of the staff are confirmed one week before, so there will be salary costs, even if the event is canceled, ingredients and raw materials are ordered for 4 days before the event.

The validity of the initial booking is one week from the date of booking. If the booking is not confirmed within the week, it expires. Confirmations and cancellations are requested in writing, e.g. by email.

A confirmed reservation can be canceled free of charge 31 days before arrival. Cancellation charges 30 – 21 days before 50%. Cancellation charges 75% for cancellations 20 – 14 days before the date of arrival. Charges 100% 13 – 0 days before arrival.

Details of the event: One week before the event, please provide a detailed program, which will include:

  • Program, schedule, menu and meal times
  • Detailed information on special diets (we take into account the most common food allergies and the following diets at no extra charge: low-lactose, lactose-free, milk-free, gluten-free and vegetarian diets. According to your announcement, we take into account other possible diets related to lifestyles / choices, etc. for an additional fee of 5 € / diet.)
  • Number of participants (+ number of children)
  • Contact information of the host / hostess
  • Other special requests
  • Invoicing details

Number of participants for the confirmed event (= +/- 10 % from the confirmed ) must be notified at latest three business days before the event.

We will invoice according to this number of people (or the minimum number of people) or, if the number of people increases after that, according to the actual number of people. We need lists of guests with room divisions no later than 7 days before arrival.
